2. Information we collect

Depending on how you use our services, we collect:

  • Your name, email address and telephone number.
  • Preferred destinations, resorts, travel dates, number of nights and number of golfers.
  • Whether flights are required and your preferred departure airport.
  • Enquiry notes, requests and correspondence.
  • Business contact information for trade partnership enquiries.
  • Group organisers’ names, email addresses, trip names and shortlisted resorts and months.
  • Group participants’ names, votes, preferred months, buggy preferences and whether they are non-golfers.

  • Technical information, including IP addresses, browser information, security records and information stored through website features.

Please provide only information relevant to your enquiry. Do not enter passport details, medical information or payment card details into general enquiry forms or the Trip Planner.

3. Where information comes from

We receive information directly from you when you complete a form, use a planning tool or communicate with us.

We may also receive relevant information from an authorised group organiser, another traveller or a service provider assisting with your enquiry.

If you give us another person’s information, ensure you are authorised to do so and share this policy with them.

4. How we use information

We use information to:

  • Respond to enquiries and prepare quotations.
  • Recommend suitable golf travel options.
  • Create and administer group planning pages.
  • Show group preferences to the organiser.
  • Send enquiry acknowledgements, planning links and results.
  • Create and manage enquiry records in our customer management system and booking portal.
  • Respond to trade partnership enquiries.
  • Provide customer support and handle complaints.
  • Operate and protect our website.
  • Meet applicable legal obligations and manage legal claims.

An enquiry may be transferred to our customer portal at yourverdegolftravelportal.co.uk so that we can create and administer your quotation.

5. Our lawful bases

We use the following lawful bases where applicable:

Steps towards a contract: when you ask us to prepare a quotation or take other necessary steps before entering into a contract with you.

Performance of a contract: where processing is necessary to fulfil an agreement with you.

Legitimate interests: where necessary to respond to general enquiries, administer requested group planning, develop trade relationships, provide support, secure our systems or manage legal claims. We assess these interests against your rights and reasonable expectations.

Legal obligation: where information must be processed to comply with applicable law.

Consent: where required for optional marketing or particular cookies and similar technologies.

Where someone else requests arrangements on your behalf, we assess the appropriate lawful basis rather than automatically treating you as a party to their contract.

6. Group planning and voting

Our group planning tools allow an organiser to share options and collect preferences.

If you vote, your name and choices are made available to the organiser. Voting does not create a booking, reserve availability or commit you to a purchase.

Organisers should keep their private results and management links confidential. Do not include sensitive information in trip names or voting responses.

7. AI Trip Planner

Our Trip Planner uses an AI service to suggest travel options from the information submitted.

Suggestions may be incomplete or inaccurate and do not confirm availability, prices or a booking. Our team confirms the relevant arrangements before you commit.

Please do not submit passport information, medical information or unrelated personal information to the Trip Planner.

8. Who we share information with

Where necessary, we share relevant information with:

  • Website, hosting, database and security providers.
  • Customer management and booking portal providers.
  • Email and communication providers.
  • The AI provider supporting the Trip Planner.
  • Travel suppliers assisting with your requested quotation.
  • Professional advisers and insurers.
  • Regulators, courts or public authorities where disclosure is required or otherwise lawful.

Some providers process information on our instructions. Others may act as independent controllers for their own activities.

We share only information relevant to the purpose and do not sell personal information.

Partner logos displayed as ordinary images do not, by themselves, mean information is shared with those partners.

9. Social media, WhatsApp and fonts

We operate Facebook, Instagram and TikTok accounts. Those platforms process information under their own privacy policies.

If you contact us through WhatsApp, we receive your message and associated contact information and use it to respond and manage your enquiry.

Our website currently loads fonts from Google. This involves a connection from your device to Google that may disclose technical information, including your IP address.

10. International transfers

Our providers and travel suppliers may process information outside the UK.

Where UK restricted-transfer rules apply, we use an applicable adequacy regulation, appropriate safeguards or a permitted exception. Relevant safeguards can include approved contractual arrangements and any required assessment.

You can contact us for further information about relevant safeguards and how to obtain a copy, subject to appropriate redactions.

11. How long we keep information

We retain information only for as long as necessary for the relevant purpose.

  • Enquiries are retained while we respond and complete reasonable requested follow-up.
  • Group planning information is retained while the planning exercise and relevant follow-up remain active.
  • Where an enquiry becomes a booking, relevant information becomes part of the booking record and is retained under our portal privacy policy.
  • Business correspondence and complaint records are retained for a justified period taking account of applicable legal obligations and claims.
  • Technical records are retained for a proportionate period needed to operate, troubleshoot and protect our services.

We review records and delete or anonymise information that is no longer needed. Information may be retained longer where a specific legal obligation, complaint or claim requires it.

12. Service communications and marketing

We send service communications needed to respond to enquiries and operate group planning tools.

Our current website does not offer a newsletter subscription or marketing opt-in. If we introduce marketing, we will explain the use, establish the necessary permissions and provide a straightforward way to opt out.

You can object to direct marketing at any time.

13. Security

We use technical and organisational measures appropriate to the information and risks involved, including secure connections and access controls.

No internet service can guarantee absolute security. Contact us if you believe information has been accessed improperly.

14. Your rights

Depending on the circumstances, you may have the right to:

  • Access your personal information.
  • Correct inaccurate information.
  • Request deletion.
  • Restrict processing.
  • Object to processing based on legitimate interests.
  • Receive certain information in a portable format.
  • Withdraw consent where processing relies on consent.

These rights are subject to applicable conditions and exceptions. Withdrawing consent does not affect earlier lawful processing.

Email sales@verdegolftravel.co.uk to make a request. We may need proportionate information to verify your identity. We normally respond within one month, subject to applicable extensions and timing rules.

15. Complaints

Please send privacy complaints to sales@verdegolftravel.co.uk or our postal address.

We acknowledge privacy complaints within 30 days, investigate without undue delay, keep you appropriately informed and explain the outcome.

You can also complain to the Information Commissioner’s Office:

16. Cookies and updates

Our Cookie and Device Storage Policy explains information stored on or accessed from your device.

We may update this policy when our services, systems or legal requirements change. The date above identifies the latest version.
